Freight Claims: Closing the Warehouse Evidence Gap

The idea grew out of a problem Ginbey repeatedly encountered in warehouses. Teams were taking pallet photos with digital cameras and personal phones, only to struggle to find them when freight claims arose. PalletVision aims to close that evidence gap by connecting visual records and shipment data to a unique pallet ID.
Freight Claims Often Become an Evidence Problem
Documenting outbound pallets sounds simple. However, Ginbey watched warehouse teams take photos and scatter them across phones, folders, computers, and employee accounts. When damage occurred, “It can take anywhere from sort of a day to three days, sometimes four days for those things to sort of materialize, if they materialize at all.”
That becomes more than an administrative headache when money is on the line. Without clear evidence of a pallet’s condition at departure, responsibility can quickly shift back toward the warehouse. “Most insurance claims end up falling on the origin point. Because they’ve got very little proof to say, ‘Hey, it left our place fine.’”
Better Evidence Changes Accountability
PalletVision ties photos, video, dimensions, and other information to a unique pallet ID. That creates a record of what the pallet looked like when it left the facility. Ginbey says that changes the conversation when a customer reports damage. “We’re no longer going through people’s cell phones. We’re no longer looking in five different hard drives on seven different machines.”
One customer saw the impact firsthand. A shipment arrived missing four items. During transit, the pallet was damaged and rewrapped by the LTL carrier. PalletVision’s original video showed that everything was present when it left the warehouse.
The customer told Ginbey, “It’s the first time they have been able to prove that we actually wrapped and sent everything.” Instead of arguing over what probably happened, the parties could determine what actually happened.
Moving Toward a Shipment Chain of Custody
The value of proof may extend beyond resolving individual claims. Better documentation could increase accountability throughout the entire freight journey.
Down the road, Ginbey sees the possibility of carriers documenting pallets as they move through hubs and spokes. “Things are now getting pushed back uphill with evidence.” That could eventually create something closer to a visual chain of custody. Each handoff could establish the pallet’s condition before the next party takes responsibility.
Ginbey notes that warehouse employees may not understand why outbound documentation matters. “It’s very hard for them to see the value in the fact that four photos of each side of the pallet and a small video could save thousands and thousands and thousands of dollars in insurance claims.”
